Purpose of collecting this information

We collect information about protected characteristics (such as ethnicity, religion/belief, disability, long-term health conditions, learning differences, sex, gender identity, sexual orientation, and age) to:

  • Monitor representation and equality of opportunity in the Expert Working Group.

  • Identify and address underrepresentation or disadvantage.

  • Support equality, diversity, and inclusion planning.

  • Inform appropriate positive action initiatives under the Equality Act 2010.

This helps us ensure our policies and practices are fair and inclusive. Providing this information is entirely voluntary and will not affect your participation. Any reports will use anonymised and aggregated data

 

How we will use your information

Your information will be used only for statistical and monitoring purposes.

  • Reports will normally be produced in anonymised and aggregated form.

  • Where data is presented to committees or steering groups, small numbers will be suppressed to prevent identification.

  • Information provided about reasonable adjustments or access needs will be used only to ensure your full participation in the Expert Working Group.

 

Lawful basis for processing

We process this information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

  • Article 6(1)(e) – necessary for performance of a task carried out in the public interest;

  • Article 9(2)(g) – necessary for reasons of substantial public interest; and

  • Schedule 1, Part 2 of the DPA 2018 – equality of opportunity or treatment.

 

Who we share the information with
  • Aggregated and anonymised equality monitoring information may be shared internally with relevant groups (e.g., the Inclusive Engineering Toolkit Leadership Team) to support planning and decision-making.

  • Personal identifiable data will not be shared outside the organisation unless required by law.

 

How we keep your information secure
  • We store your information securely and restrict access to staff who need it for legitimate purposes.

  • We apply data minimisation and confidentiality controls to reduce the risk of identification.

 

How long we keep the information
We will retain equality monitoring information only for as long as necessary for reporting, monitoring and statutory obligations, in line with our records retention schedule.

 

Your rights

Under data protection law, you have the right to:

  • Request access to your personal data;

  • Correct any inaccurate data;

  • Request deletion or restriction of processing in certain circumstances.

Why we’re asking: These questions help us understand the diversity of our Working Group and support positive action initiatives under the Equality Act 2010.
Answering is voluntary and choosing ''Prefer not to say'' will not affect whether you are considered for participation. Only authorised project team members will see individual responses, and any wider reporting will only show aggregate statistics.
