The Engineering Professors’ Council is the organisation that represents the views and interests of UK engineering academics. We have more than 8,000 members from over 80 universities, and we support them by campaigning on their behalf to the Government and other bodies, by keeping them informed on policy, and by sharing expertise and best practice.

Job description

This is a key role in the organisation, in charge of the processes that strengthen the EPC as a membership organisation. 

You will oversee membership services, such as subscriptions, contacts and payments – both income and expenditure.

You will help to organise events, both online and in person, often liaising with high profile speakers or making arrangements to ensure everything runs smoothly.

You will organise meetings, take minutes and provide executive assistant services to the Chief Executive. 

This is a small organisation, so everyone needs to pitch in sometimes to help complete an exciting variety of tasks. That also means the role will adapt to you: your strengths and what you want to be doing.

You’ll be home-based with regular contact via Zoom, email and/or phone. There will be occasional travel to meetings or events (in the UK) for which we will pay expenses.

No prior knowledge or experience of engineering is required.

The role can be either part-time, full-time or even potentially a job share, and you should make your preference clear in your application. The number of hours worked and when exactly you do those hours is flexible, although you will sometimes be expected to attend online meetings at certain convenient times. 


Person specification 

Essential:

  • Excellent organisational skills 
  • Good at writing friendly and professional emails
  • Competent with common computer software packages (such as Word, Excel, potentially WordPress) and unafraid to learn new ones
  • Honest, with experience of being in charge of cash or finances
  • Confident with numbers and basic maths
  • Happy to pick up the phone when needed and be a friendly and polite voice representing the organisation
  • Enthusiastic and willing to work on your own without too much direction
  • Committed to helping people.

Desirable:

  • Ideally, you should be a graduate as our work involves universities
  • Any experience of marketing, event planning or project management
  • Experience of minute-taking
  • Experience of invoicing and basic book-keeping
  • Basic web experience or HTML.

Duties 

The duties will include:

  • Manage the renewal process of EPC membership ensuring that member contacts are given the relevant renewal information and the subscriptions are paid in a timely manner.
  • Actively seek potential new members and contact the decision-makers to encourage their institution to join the EPC.
  • Manage contact information of members and other people for storage in our membership database, ensuring the database records are in good order, up-to-date and in keeping with data protection requirements.
  • Ensure that financial records are kept of all monies in and out of the EPC bank accounts and that all bank transactions are reconciled appropriately.
  • Ensure that everything is in order in the EPC accounts at the end of the financial year (end of July) and provide relevant totals for all bank accounts and reports as required by the EPC accountant to draft the annual accounts report and submit to Companies House.
  • Manage bills, invoices and expense claims for the EPC such that they are paid or monies received in a timely manner.
  • Manage arrangements for EPC meetings including, but not limited to: the Annual General Meeting; the EPC Board (4 times a year plus biennial retreat); the 3 EPC Committees (c3 times a year each); and other ad hoc Working and Steering Groups. This includes recording and distributing the minutes for meetings.
  • Ensure that preparation for the AGM is done each year such that any change of Board members (due to the end of their term of office) is identified and appropriate members informed and details of new members elected or co-opted are recorded as appropriate.
  • Ensure that Companies House is kept up to date with any changes in EPC directors.
  • Help to ensure the smooth running of EPC events which could include liaising with speakers and delegates, ensuring that registration for events runs as appropriately, prepare resources such as delegate packs, badges and EPC merchandise, arrangements for catering.
  • Help to ensure that the EPC website is kept up to date with events and other relevant resources.
  • Ensure that regular backups are made of all relevant EPC data.
  • Other tasks and activities as directed by the Chief Executive.

This role will be home-based with occasional travel to meetings (in London or elsewhere in the UK). All reasonable expenses will be paid.
